Terms and Conditions of Service

The Contract

This contract is between you, the client, and Willow & Vine Limited and covers all services as detailed in your quote (i.e. the provision of all services including, but not limited to, floristry and item hire). Your booking is confirmed when you, the client, have paid Willow & Vine Limited the non-refundable reservation fee, detailed in your quote, within 7 days of the date of issue.

Consultation and Quotes

Consultations are free but by appointment only. Quotes will not itemise each individual item as discount is applied to packages.

Bookings and Payments

A £250 non-refundable booking fee is required to reserve your chosen date, subject to our availability. The booking fee secures the agreed date. This fee is subtracted from your final invoice consisting of all remaining funds and will be issued 6 weeks before your wedding date and is payable no later than 4 weeks prior to your event date.

Cancellations

If, for any reason you decide to cancel your booking this booking fee is non-refundable. Willow & Vine Limited require written notification of cancellation, by email or letter.

Postponments

If you decide to postpone your wedding, we will hold your booking fee and transfer this fee to a new date, subject to our availability. If we are not available to cover this new date, this will be classed as a cancellation and your booking fee will not be refundable. If the date is postponed a new quote may be issued taking into account changes in market fluctuations, flower prices and sundry prices.

Details and Amendments

Your initial quote will be provided by email. This is based on our discussions but remains flexible should amendments and additions be needed later, which we will do our utmost to accommodate. Amendments are only agreed once confirmed by us via email.

Delivery, Setup and Collection

Delivery, setup, and collection is included within your quotation. We will check with you prior to your wedding if you wish for us to remove any non-hire flowers for you. We encourage our clients who do not wish to take fresh flowers to consider donating them to our chosen charity Marie Curie or one of our local elderly care homes if this is not possible. There is no charge for this service. Where you have hired items, the collection fee is included as standard. Please note we will not be held responsible for any injuries or damages sustained because of broken glass, candles, materials or dyes that may be used to colour water, or dress tables. The use of our props is at your own risk and children must always be supervised as props are not suitable for play.

Hired Items

Willow & Vine Limited reserves the right to charge you the client for any loss of and/or damage to hired items. Where damage deposits are charged these will be repaid to you within 24 hours of the hired item(s) been checked and no damage being detected.

Additional Terms and Information

Fresh flowers are a living product and are dependent on weather conditions, stringent quality checks, and influences beyond our control. On exceptionally rare occasions we may have to substitute a specific flower. If this happens, we reserve the right to source a similar flower, without notice.

Terms of Service

Willow & Vine Limited does not hold any responsibility for adverse weather conditions affecting access to any venue and will make every attempt to get to there, only when it is deemed safe for its staff. Willow & Vine Limited will not be held responsible for ‘Acts of God’ (e.g. fire, flood, etc), government advice, pandemics, labour disputes, failure of electricity supply and any other unforeseeable circumstance.

Liability

Willow & Vine Limited shall not be liable for any breach of copyrights, trademarks or rights of privacy or publicity relating to materials supplied by the client. Willow & Vine Limited will not be held responsible for loss or damage caused as a result of a third party or environmental issues associated with the venue. Where candles are incorporated within the design, (e.g. table centre candelabras) it is the client’s responsibility to agree with the venue provider whether the venue and the proposed location of the piece deem it safe within their health and safety policy for the candles to be lit. Willow & Vine Limited will supply good quality, drip proof candles in secure holders but cannot be held responsible should the provider of the venue deem it unsafe, at the time, for them to be lit. We can offer alternative flameless battery powered candles.

Failure to Pay

If the payment is not made within the timescales detailed above, on the invoice or otherwise, this will breach the contract. Willow & Vine Limited will treat the contract as at an end and any payments made to that date shall be retained. Any remaining balance will also be payable immediately to Willow & Vine Limited. Willow & Vine Limited are entitled to reallocate stock without informing the client, should the contract be treated as at an end. This clause is without prejudice to our rights to claim damages from the client in respect of any loss suffered.

Review of Terms & Conditions

Willow & Vine Limited reserve the rights to review and update the Terms and Conditions periodically.
